Email
is an integral component of web-based surveying,
used to notify, invite, and follow-up with
survey respondents. Personalized survey invitations
and communications with respondents can significantly
increase survey response rates, expedite the
survey process, and increase overall satisfaction
with the survey experience.
Personalized Communications
Personalized communications can range from
simply replacing the typical "Dear Valued
Customer" salutation with the respondent's
real name and title to including personalized
details such as purchasing history, service
history, and demographics.
Typically, respondents receive two communications
throughout the survey process:
- Email Invitation:
serves as the cover letter, providing
prospective respondents with the background
and purpose of the research study, an
official invitation to participate, username/password
information, the web address or URL link
to the survey, reassurance of confidentiality
and other privacy statements/policies,
and contact information for technical
support.
- Follow-up
Reminder: used to remind non-respondents
of the survey, ask for their cooperation,
and stress the importance of their participation.
Username/password login, URL information,
statements of confidentiality, and other
privacy policies are usually repeated.
Customized Approaches
In addition to email invitations and follow-up
reminders, preliminary email alerts can be
used to notify potential respondents of an
upcoming study to improve response rates.
Respondents are made aware of the upcoming
study and may be less likely to disregard
the official/initial invitation as “junk mail”
or SPAM.
In the case of high-value clients, it may also
prove beneficial to send out a round of “Thank
You” communications to help reaffirm the value
of their participation and their importance
as customers, thus maintaining relationships.
Full-Service Capabilities
Our current email systems can readily send
out an almost unlimited number of emails per
day, and our current web-survey systems are
capable of serving over 100 concurrent respondents
per active survey. We can effectively manage
up to 25 concurrent surveys and between 5,000
to 10,000 completed surveys per week. Our
broadband service consists of 10mb and 100mb
dedicated access. Our current level of resources
can also be expanded further on very short
notice.
